Shoppers read return policies before they buy, especially when they're buying from a store they don't know yet. A clear, fair policy removes one of the biggest reasons to hesitate. A vague or hidden one costs sales and leads to arguments later. This guide covers what to put in your policy and how to run returns smoothly in Shopify.
This article is general guidance, not legal advice. Consumer law differs between countries, so check the rules that apply where you sell.
Start with the legal minimums
Your policy can be more generous than the law, never less.
- European Union: for most goods bought online, consumers have a 14-day right of withdrawal from delivery without giving a reason, and refunds must be made within 14 days of the cancellation (you may wait until the goods are back or proof of return is provided).
- United Kingdom: similar rules give consumers 14 days to cancel online purchases, plus a further 14 days to return the goods.
- United States: there is no general federal right to return online purchases, but some states have rules on how return policies must be shown, and card networks and marketplaces have their own expectations.
Faulty or misdescribed goods are a separate matter: customers usually have stronger rights there, regardless of your return window.
What a good return policy includes
- The time window: how many days, and from when (delivery date is clearest).
- Condition: unused, with tags, in original packaging, whatever you require, stated plainly.
- Exclusions: personalised, perishable or hygiene items, and final-sale products.
- How to start a return: a link, an email address or a form, not "contact us".
- Who pays return shipping, and whether a label is provided.
- Refund method and timing: to the original payment method, store credit, or both, and how many days after you receive the item.
- Exchanges: whether you swap sizes or colours, and how.
- Faulty items: what to do if something arrives damaged or wrong.
- International returns, if you ship abroad: address, costs and any duties.
Write it for customers, not lawyers
Use short sentences and headings that match what people want to know: "How long do I have?", "How do I send something back?", "When will I get my money?". Put a three-line summary at the top. A table works well if different product types have different rules.
Choosing your terms
| Decision | Generous option | Cost-conscious option |
|---|---|---|
| Window | 30 days or more | The legal minimum |
| Return shipping | Free, prepaid label | Paid by the customer |
| Refund type | Original payment method | Store credit preferred, refund on request |
| Exchanges | Free size or colour swaps | Treated as a return plus a new order |
A common middle ground is free exchanges and paid returns: customers who need a different size are looked after, and you keep the revenue.
Setting up returns in Shopify
- Add the policy: in Settings → Policies, add your refund policy. Shopify links it at checkout and you can add it to the footer menu.
- Return rules: in the same area you can set return windows, fees and final-sale items so they apply consistently.
- Self-serve returns: with customer accounts, shoppers can request a return from their order page, and you approve it in the admin.
- Labels and tracking: create return labels where your carrier setup supports it, or use a returns app if you need more automation.
- Restocking: when you process a return, choose whether items go back into stock.
Use returns to reduce returns
Record a reason for every return and review them monthly. "Too small" points to unclear size guidance; "not as pictured" points to photos or descriptions. Better product information is often the cheapest way to cut return rates. See our guide to writing product descriptions.

Frequently asked questions
How long should my return window be?
At least as long as the law requires in the countries you sell to. For distance sales to consumers in the EU and UK, that is generally 14 days from delivery to cancel. Many stores offer 30 days because it reassures shoppers, and most returns arrive early anyway.
Do I have to offer free returns?
Not usually. You can ask customers to pay return shipping as long as you tell them clearly before they buy. Some stores offer free exchanges but charge for refunds, to keep revenue in the business.
Can I refuse returns on some products?
Common exclusions include personalised items, perishable goods and hygiene products once unsealed. Check the specific exceptions allowed in each country you sell to, and list them in your policy.
Where should the return policy appear?
In the store footer, on product pages (at least as a short summary with a link), in order confirmation emails and at checkout. Shopify links the policies you add in settings at checkout automatically.
